Privacy Policy

This Privacy Policy explains how Dispatch Labs (“Dispatch Labs,” “we,” “our,” or “us”) collects, uses, stores, and shares information in connection with our website at dispatch-labs.com (the “Site”) and our cold email writing service (the “Service”).

1. Information We Collect

1.1 From Subscribers

When you sign up for the Service, we collect:

  • Account information: your name, business name, email address, and any other details you submit through our intake forms.
  • Business inputs: your target customer profile, your offer, your desired outcome from outreach, voice samples, and any written context you provide to help us write on your behalf.
  • Payment information: handled by Stripe, Inc. We do not store full payment card numbers on our servers. We retain only the metadata Stripe returns to us (such as a customer ID, the last four digits of the card, the card brand, and billing status).
  • Communications: emails, support requests, and other messages you send to us.

1.2 Prospect Data

To deliver the Service, we collect and process information about the prospects you identify or that we research on your behalf. This typically includes:

  • Full name and job title
  • Business email address
  • LinkedIn profile URL
  • Company name, website, and public company information
  • Publicly available context (press, podcast appearances, company announcements, public posts) that supports individualized writing

We do not knowingly collect sensitive personal information (such as government IDs, financial account numbers, health data, or biometric identifiers) about prospects. If you believe prospect data we hold falls into one of these categories, contact us at info@dispatch-labs.com and we will delete it.

1.3 From the Site

Our hosting and analytics providers may automatically collect standard log information when you visit the Site, including IP address, browser type, referring URL, pages visited, and timestamps. We use this only to operate and improve the Site.

2. How We Use Information

We use the information we collect to:

  • Deliver the Service you have subscribed to
  • Research prospects and write individualized cold email drafts on your behalf
  • Process payments and manage your subscription lifecycle
  • Communicate with you about service delivery, billing, cancellations, and material changes to our Terms or this Policy
  • Detect and prevent fraud, abuse, and violations of our Terms
  • Comply with our legal obligations

We do not sell your information. We do not use Subscriber business inputs or prospect data to train third-party AI models outside the scope of delivering your subscription.

3. How We Share Information

We share information only with the third-party processors we use to run the business, and only as needed to deliver the Service:

  • Stripe — payment processing. Stripe receives your name, email, and payment information.
  • Resend — transactional email delivery for receipts, confirmations, and service communications.
  • Vercel — hosting for the Site and the intake APIs.
  • AI inference providers — used to assist in writing drafts. Prompts may include your business context and the prospect data you have submitted.

We may also disclose information when required by law, subpoena, or court order, or to protect our rights, safety, or property or those of others.

If Dispatch Labs is acquired, merged, or transfers substantially all of its assets, your information may be transferred as part of that transaction. We will provide notice before any such transfer becomes subject to a different privacy policy.

4. Retention and Deletion

We retain information for the following periods, after which it is deleted:

  • Free sample intake submissions — 90 days from the date of submission.
  • Paid Subscriber account and intake data — for the duration of your active subscription plus 1 year after cancellation.
  • Prospect data submitted for batch processing — 30 days after delivery of the relevant batch.
  • Payment records — as required by law (typically 7 years).
  • Support correspondence — 2 years from the date of last contact.

Prospect data submitted for a given subscription is deleted upon written request. To request deletion of specific prospect records, your full account, or any other data we hold about you, email info@dispatch-labs.com. We will complete the deletion within thirty (30) days, except where retention is required by law.

5. Security

We use reasonable administrative, technical, and physical safeguards to protect the information we hold, including access controls, encryption in transit, and limiting access to information on a need-to-know basis. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

6. Your Rights

Depending on where you live, you may have the right to: (a) access the personal information we hold about you; (b) correct inaccurate information; (c) request deletion of your information; (d) object to or restrict certain processing; and (e) request a copy of your information in a portable format.

California residents have additional rights under the California Consumer Privacy Act and California Privacy Rights Act, including the right to know what personal information is collected and to opt out of sale or sharing of personal information (we do not sell or share personal information as those terms are defined under California law).

7. Children

The Service is not intended for and is not directed to children under the age of sixteen (16). We do not knowingly collect personal information from children.

8. International Users

Dispatch Labs is operated from the United States. If you access the Service from outside the United States, you consent to the transfer, processing, and storage of your information in the United States, where data protection laws may differ from those in your country.

9. Changes to This Policy

We may update this Privacy Policy from time to time. If we make a material change, we will update the effective date above and notify active Subscribers by email at least fourteen (14) days before the change takes effect.
